thank you everyone for joining us this evening we are so excited to share these Resources with you we know that the last month has been challenging and so many ways for our students and for our parents and so we're really hoping that tonight you get some clarity on some ways that you can support your students I'm so that they can engage successfully in our schools because made this thing we most want right we want students to feel comfortable that they can get into school if they have access to their teachers and of course we want you to feel equipped that you could support them in the way that you are accustomed to do I have a few friends with me tonight we're going to help us navigate this presentation I'm I'm sorry I didn't introduce myself my name is Jessica catching shy I know that it says Terry Callison beneath my name but that's because I'm using her account so that I can have it at a greater audience my name is Jessica catching by and I am DB I'm excited to be executive director of instructional development for the district it is my job to oversee professional learning programs induction for teachers are afraid of the ways in which we can help support our teachers to help them be as effective as possible with me tonight and you are going to hear from dr. John Coral who's one of our instructional coaches you see him there is the gentleman in the headset and he's going to be leading us through but I have two additional very special people who are going to provide our Spanish translation presentation I have Mister my team Alvarado or categorical program and I have miss Monica Solis who's are instructional coach particularly specialising for English Learners and so they are going to talk to you if you would like to have the presentation in Spanish on Martinez share with you now how you can go about and doing it there but as much as the assistant coach and Ali started what's my Bora Bora primero huevo para la otra Manera radius EAP La presentacion quesadilla in English okay copy it down I'm Pizza in your web browser able to join the other meeting but you will have to exit this meeting first I'll give you a moment to copy it down it is case sensitive so if you're not copying and pasting you have to type it and fees make sure to include fever acute letters alright thank you so much for your patience excited to get started all right first thing. dr. Kaur and I would like to share with you I'm want to make sure all of our parents are aware of the resources that they have available new learning management system and it has come with a number of hiccups but it was one of the things that we knew we needed after it is The Running Man by all of the California community colleges and social learning but we also believe it's going to provider many of you know already it is the video teleconferencing platform that we have selected for schools play because we selected them because we could enable a number of states to help protect our students and our teachers we are also going to talk tonight about the Aeries Parent Portal it is the most up-to-date information for your schedule one feature that students have access to for a long time that we did not spend enough time really emphasizing to be quite honest they can receive information from counselors from visors they can email one another all sorts of things that they have access to this and so we want to make sure that our families know that that that is a horse project even images so that is just a snapshot of the resources that are specifically we're going to take a look at to help you navigate to and then we're going to provide some tips for troubleshooting things do not always run smoothly unmute myself thank you. Sketch a presentation of the different features that all of you have an opportunity to ask questions India the Q&A chat and I would invite you if we are going through we are talkin about the or anything and there's a point that you would like us to re-emphasize or if you have a question or a heck you just want me to slow down I go ahead and just throw that in the catechumenate and dr. khachatryan ourself will answer your questions to the best of our abilities as we go through and we talked about this now canvas is is the LMS is that our teachers are using to deliver their content give quizzes give past it is the digital platform that your students are using to turn in their work and communicate with their teachers with negotiate that on the teacher and the student has been it's been a learning curve the teachers are learning how to use the platform much better as all of the students as well really want to talk to you about is what role you can play in canvas and canvas actually has a really great feature called The Observer role that allows parents to Monitor and just paint on some level with with the canvas course is that your students are enrolled now with the Observer status you can observe all the elements can I show you what that looks like in in a few minutes you can message teachers you can really kind of see everything is going on biggest diamonds you can see what's going on with your student see the greys what can show that to you a little while also you have some participation roles as well as an observer where you can message the teachers are you can use canvas as a directly communicate with the teachers in the course you'll get receive notifications for events and we're going to show you what that's going to look like for both the app and for the other web-based app as well kind of show you how you can set that up and customize it however you like to to view it now in order to enroll as an observer your student has to give you some information okay I need information that you're stupid test give you is that they have to go into their own canvas settings and have to go into their own camps account and they have to find a code how can they do so by entering this screenshot of the interface here where the student will go to their settings and their account and they will click a button that says pair with Observer that's going to do is just going to generate basically an invitation code that your student will give you and then when you go to the canvas parent app or you try to log in I to the Chaffee cannabis site are you can use this code to enroll yourself as an observer for that student and when you do so you will have essentially pretty good viewing and participation access to the courses that your students are enrolled in what I'd like to talk about right now though is I want to show you what you can see in the the canvas parent app now the canvas parent app is available on both IOS and Android devices and it is is not the only way that you can access the Observer all and see if not your students classes but it's a very convenient way to go ahead and do that and that's the first time that you downloaded onto your device you're going to log in with your own email how you're going to generate a going to create a password you're going to create this account and then when you log in what you're going to do is you're going to put in this code that gives you and then that that will give you full access to with the students are doing in campus and can see everything now with the canvas parent app you can view assignments due dates you set reminders for a sign there's our calendar view really powerful calendar in canvas that remind students when things are too you can have a version of that before your self to see when things are do for you how you can view grades you can separate alerts and we're going to show you what that looks like in just a moment so what are the features that you can do with the app is that you can check I know I'm a parent myself and I don't know about you but I really like to see how my students are doing as they're progressing through a course and you have a great deal it is available in your pair apps that will allow you to see all the classes that your students enrolled in and you'll get to see the percentage or the letter grade that that the teacher has given you now are the current rate that used to discern it additionally can see everything that is going on in that course by viewing the course itself and you can essentially get full access to all the conscience all of the assignments you get to see everything that your student sees assignment wise content-wise in the course with the canvas app you can view assigned work so you can see what your student has been given immediately if it's due tomorrow if it's due next week if it's due next month you'll see it all so you can take a look at everything that the students also turned in and see what their scores are and find out whether it's been turned in late or not and if there are scores you can see the scores Additionally you can modify the canvas app to notify you when certain events happened with your student with intent so for instance if you want a automatic notification to be sent to you if course grade Falls below threshold so let's say that for instance you wanted to find out if your student has fallen below a c in your class you could customize canvas to give you a little notification if if your student's grade pause below 70% or if a certain course credit goes below a seat and set that you can toggle assignment missing so if a student is missing assignments you can you can you can customize lots of really great assignment notifications and alert notifications to let you know when certain events happened for your student in campus and a very powerful tool mechanic keep you up-to-date concurrent with what's going on in canvas with your student now I mentioned course calendars that were available for the students and campus and after the students anytime in assignment is posted and there's a due date for that assignment apocalypse and a calendar automatically for the students of the students can I can go ahead and they can view it and they can see where when anything's do as a observer in such a parent do you have access to this calendar as well so you can go through the interface in the app and you can click on calendars and you can see a calendar very similar to this that show you when things are due and if you look at the graphic you'll notice that there's dates and then there's tiny little dots underneath each state that indicates the number of that were alerts or things that are due on that particular date and you can kind of go through and you can see what's pending and what was doing what his do for you and only if you want to manage the calendars and you don't necessarily want to see all the calendars you can turn counters on and off I know one of the reasons we went with campus is because they have really good powerful messaging system built into it to that allows teachers to communicate directly with students and students directly to teachers about what's going on in the course as an observer in a canvas course in if you're observing everything is going on with your students by you have the ability to correctly message teachers counselors within the canvas app as well as the inbox is very powerful and you have the ability like I said to directly message teachers as well and whenever you said those messages they go straight to the teacher in their inbox and campus and they can't directly message you right back all those features that I just outlined in the canvas app are available in the web-based version as well it looks a little different but if you login to the Chaffee canvas web-based service and you are able to put in the code you'll have Observer status and can find the web as well and you can navigate the at the web-based version Inc pretty much everything that they get to see their grades if I do screenshot that you can find out whether or not things were turned in late with their scores were and you can initiate a contact with the teacher by pressing that box foot and directly English teacher what I really appreciate about canvas is that it gives you as parents a really powerful communication tool that not only tells you how your students are doing in the class but gives you a direct line to the teacher to communicate with them exactly exactly how your students doing and how we can help them how you can help them out help them and if it can really speed up the quality of the conversations that you have with your instructors now one of the complaints one of the bits of feedback that we got over the past week or so is that canvas can really blow up your inbox so they can send you a lots and lots and lots female and if you are the type of parent they want to hear about everything that goes on a canvas wall canvas was going to let you know okay whenever something is do grading policy changes course content justify if the files get updated if there's announcement any times to change into grade canvas can and will send you a notification a however if you don't all of those emails and you only want certain types of emails like for instance if you if you want to be notified if something has been towed in late or if you want to know if if there's been an announcement turned on you can go into your own account into cannabis and you can customize your notification preferences and tell canvas exactly what you want to hear and what you don't necessarily want to hear and by clicking on your account button and canvas I have I selected notifications you can go ahead and use this interface that we have screenshotted for you and tell Candice that well I I I might want to know about due dates weekly or I want to know about late assignments as soon as it happens and there is a legend right up here that tells you what each of these each of these symbols the checkmark the clock the calendar or the X represent if you click the x i you're telling campus I don't want you to send me anything on this topic if you click the calendar you're saying that I wanted a weekly summary of everything if you click the clock you're saying that I want to find out about announcements or file changes a daily or if you want to find out right away that they that there's a late submission or there's an assignment missing click the checkbox and cannabis will send you something right away I want to remind everyone has been printed out early if you have any and so if you miss something at the beginning this is friendship that is being recorded today can we talk about you understand me know that that is the most urgent most pressing need only hope that what you saw right now give you a little bit of insight in the ways in which you can communicate more effectively what now you want to talk about which is our student information system Aries is a little bit more challenging and registering and nebulae can't simply go in and download an app you do have to go into your school but we promise getting information from and is going to be well worth it eventually be able to see if they will give you this email address initialize the setup you can do Aries on the web and you can download the Aeries Parent Portal something that they are really committed to using their but until you might might be more familiar with it this is a great tool for your skin is available and that you can see your progress as well some of the things that you can see obviously is basic information about your students this is important because when we go to do all calls for home we are using the information in in the Aries to contact you so we're sending calls through the the numbers that you have the contact information that you have here and the email addresses that you have set up an Aries years ago and so those emails might be out of jail phone number and it's a good place that you really want to make sure that we have the right contact information you can also check your student attendance we know that this is an ongoing issue right now and you can see it whether or not your student is logging in and whether or not their teacher is seeing that each day and vice-versa are there and sometimes there's a little bit of discrepancies so we really urge you to monitor your students attendance are they coming each day even Sundays we take attendance that should be done on Mondays as well and so are we just going to give you that chance whether or not your students is blocking and most importantly in the house are going to be updated or if you can see them there but they will also be updating their grades in areas and so you can anytime bill in check him out of here so you can see at they're at their experience so far in high school and I'm in their progress so that's just it's a really useful tool we want to encourage we don't think we have enough signing up for Aeries Parent Portal and so we really wanted to take a moment to let you know what you can see if you go into Aries and how you feel about signing up for Aries all right we know that that is plugging so many of you is a resources for troubleshooting what do I do when something doesn't work we obviously we don't usually have to rely solely on techno and one thing we certainly learned quickly was that solely reliant on technology just opens us up to a whole host of issues and so you want to give you some quick tips and strategy when there are problems the first thing that we know now is that students what you see on the left of your screen is what a student sees when they login to their campus they have their course they have this year they have the opportunity to see the calendar which is an awesome and they have an inbox for emails or messages that they will be receiving from the studio is a feature that they can log and then of course if they're having help this help option down here is available to see if there is something plus there's a chat line right there some students overwhelming one strategy that we want top right corner you can change the screen from card view to list view which is what you see over here on the right if they change it to you than what it does is it kind of lists of lists information on their calendars and their classes and it's one street so they can see oh my goodness I have video they have the they have won it I need to see everything that they need to begin working on for that day if they are to the right they can still see their grades and they can see their assignments or to do list by clicking on the Belt that has the little notification but this has helped many students feel like sometimes this feels too busy and it's hard to figure out what you're on the to do list goes with what and this has been a way that helps you process and of course he can go as soon as he go ahead and eat. Doing it anytime Anna being overweight buy a canvas this one thing but one potential source of frustration that you and your student may be experiencing right now is problems with with the hardware or okay now we have had lots of reports of students not being able to get into a zoom meeting and the most likely explanation for your stew not be able to get into a zoom meeting I have to do with the matter. Which of your student has signed into so that when we started the school year Chaffey switched over to a H-E-B version instance of Bill and so they need to log into the Chaffee version of zoo rather than just zoo.com soon. Us now on this slide are we have a number of Bentleys that give your students the procedure that they need to follow my in order to correctly log into the advice the troubleshooting Dennis almost this problem is that you just advise your student to completely logout of zoo either in the app I can you go back one more supply please log out of zoom and the app and and or the web version of of of do whatever they're doing and then depending on the device if they are using they're going to log back into Zoo using the correct procedure going to the CJ uh Steve Dotson. Us and these Bentleys that are listed on this presentation give you the different procedures that you'll follow for a Chromebook for a PC or Mac and or you're on a mobile device for resume as well I would basically the idea is that your student may not be having success because they're not in the Chaffee Zoo and it was saw another potential problems that your students might be experiencing is that the device that they're using is having a hard time finding canvas and or interacting with some of the and I'll go ahead and eat if your student is having a hard time login or they having device problems the one thing that we really want to do is we would invite you to go to your school and get a Chrome book from the library it will definitely and we have configured the Chromebooks to minimize the potential apocalypse prevent successfully login to prevent successfully from using the features that are built into canvas or some of the features that the teachers may be using for their assignments and if they can use School provided Chromebook you will reduce a lot of uncertainty and really enhance their their experience with campus you know we also noticed that a lot of students in the spring. can handle a lot of the work through their phones or maybe they were the only one and so they were reluctant to come in and get a Chromebook do you have plenty of devices available for Speed I'm on a phone if it is a Wi-Fi or a hotspot issue please let us know we have hotspots that we can rent out at checkout we have hotspots that we can check out especially you have a number of people at home trying to you know he's got younger ones I know that I have two sons at home we're trying to do zooms and you know if you've got three Jones Friday to happen at the same time that's a lot of Loudoun I certainly don't want anyone using their data solely to try to login to school so I guess it's yours is struggling on the device that they have for home please tell them that they can come in and are keeping your child schools and you will get them additionally we can put safety features on the Chromebooks do we know that students are logging inappropriately and they're on websites that are designed to keep them safe and to keep them from the other world I can be a distraction from school finally we have all of these resources on our website I might know someone in the chat hotline but I have it here for you we are going to it's recording on the website for you to be able to review again to help you see the features that are available to the app if you have not yet done we'll get it Oregon how to find a area code of course you're always welcome call the front office wonderful buttons on the right side or left on all of your schools website that will take you directly to the directions that doctor growth when she's out of how they can be sure to troubleshoot if they're having issues or if they're having issues logging in a century from school and we absolutely want to do everything that we can to make sure that your child is sick if something's not working we are happy to help we are waiting to help this is such a unique situation and really trying to help make sure that our teachers most important that our students and their families have if you have any questions of course you're welcome to our emails up in just a moment but I I want to emphasize that if you are having Wi-Fi issues if you're having technology issues please call that hotline and you'll have someone who can at least direct me to go to help you get the resources most hotspots because you do have them available and we're afraid families just don't know about it I'm not is all we have for you tonight the address at the top is going to be where you can find it cjuhsd parent presentation 20/20 it's you is case sensitive besides that we shared tonight what you can see in the app on the website my name is just because it is easier to say than just fell now is there for you it is and my colleague of course doctors on Coral that is his email as well and you are welcome to email us and reach out if you have any questions but that concludes our presentation for I'm sure that a long day but we hope that this information was helpful and we look forward to thank you so much have a great evening
